PCS Residential is looking for a Sales & Service Support Specialist to join our team. The ideal candidate will be energetic, have strong attention to detail, be highly organized, have exceptional teamwork skills, maintain accountability to the jobs and team they support, and have excellent communication and documentation skills.

Salary: $45,000 - $55,000

Sales Support Duties:

Work with salespersons to ensure that all jobs move timely and diligently through the process.

  • Create and manage job files from inception through project close.
  • Provide excellent customer service and consistent communication to the customer throughout the entirety of the job.
  • Ensure tracking/statuses of individual files are accurate and up to date in real time.
  • Manage team meetings as well as individual meetings with salespersons.
  • Be one step ahead and hold all parties accountable from successful job flow to completion.
  • Maintain tracking spreadsheets with up-to-date storm information.
  • Assist in administering photo reports, contracts, and documentation for adjustments, work orders, and job turn-in.
  • Efficiently compile and build back-end documentation packets for timely submission to insurance carriers; escalate back-end supplement assistance to the Regional Claims Manager.
  • Assist the customer and salesperson in the collection of required funds to launch and closeout the job.
  • Create accurate and timely invoicing to the customer; escalate file to controller for final collection.
  • Work with other departments to help build processes for easier job flow.
  • Build relationships with property managers and crews through activities that include but are not limited to setting up and attending events and trade shows.
  • Ensure all necessary permits are pulled before job starts.
  • Facilitate and maintain a cohesive and respectful work environment.
  • Perform additional assignments as requested/needed.

Service Coordinator Duties:

  • The service coordinator will work with homeowners, property managers to resolve issues relating to the exterior envelope.
  • Create and manage service files from inception to job close.
  • Maintain a professional manner when communicating with customers on phone and email.
  • Ability to respond to a high volume of calls and/or emails daily.
  • Prioritize service calls and determine the needs of the customer.
  • Respond to customer inquiries and resolve or escalate customer concerns or complaints, as appropriate.
  • Work hand-in-hand with Production Service Manager to ensure all files are taken care of in a timely manner.
  • Meet with service team weekly to identify and coordinate upcoming work.
  • Driven to learn common problems and solutions for various issues.
  • Assist with coordinating inspections between homeowners, service technicians and crews.
  • Receive and approve incoming crew invoices and review for accuracy.
  • Ensure a profitable margin when sending customer invoices to be paid.
  • Be able to confidently work with crews to ensure they are maintaining company standards.
  • Create reports that explain issues and resolutions to the homeowner and/or property manager.
  • Communicate with customers to ensure work performed meets or exceeds their expectations.
  • Ensuring service technicians have as much information as possible to correctly diagnose and repair.
  • Ability to find the positive in any situation.

Education and Work Experience Requirements:

  • Exceptional verbal and written communication skills
  • Prior experience in construction recommended, prior experience in the exterior restoration industry preferred
  • Detail oriented, thorough, and accurate
  • Excellent organizational skills and ability to prioritize demanding workload
  • Exceptional customer service skills
  • Ability to self-manage and work independently
  • Strong problem-solving skills
  • Strong computer skills including MS Office, Word, Excel and Adobe

Job Type: Full-time

Pay: $45,000.00 - $55,000.00 per year
